There are two tabs on your main page, Time and Preferences.
Setting Your Preferences
Under Preferences are two sub-menus, My Areas and Reset Password.
My Areas allows you to select which areas you want included in the drop-down list when you are entering your hours. For instance, if you only work in the Production Area, you can have only Production included in you customized list of areas. Or you can simply ignore this section and have the full list.
Reset Password is pretty self-explanatory. Since all volunteers are starting out with the same password (koop), everyone should create a new password for themselves when they first log in to the system.
Entering Your Hours
The Time tab is the first page you see when you log in. This is where you enter your volunteer hours.
You can change months (date ranges depending on your view) using the "Go to previous period" and "Go to next period" buttons at the top of the tab next to the date. Most folks login at the beginning of the month for the previous month, so you'll likely have to backup one month.
Select the volunteer work area (team/function) from the drop-down menu which starts with root. Note: areas (like Membership Drive) which have a plus (+) sign before the first letter and say (not loggable) have further sub-menus that don't show - initially. Select it and then click on the drop drop down again and you'll see selectable sub-areas. Intuitive, eh?
Under comment, enter a short description of the work performed, such as cleaned 20 CDs or washed Leah’s car.
Enter your volunteer hours in the appropriate cell either as hours/minutes (1:45) or fractions of an hour (1.75). There is a column of cells for each day of the month, or you can view the current day only by clicking on the View Day link to the right to the date range near the tab.
Save your hours entered by clicking the Save button. DO NOT CLICK the UNTIL you have entered all of your hours for the month as this will lock the sheet and you will not be able to make changes or enter more hours (unless you contact the VH Coordinator and beg forgiveness and offer copious amounts of cold adult beverages).
Submit your hours for approval AFTER you have entered all of your hours for the month by clicking the Submit for Approval button. Shortly thereafter your Area Coordinator(s) will then either approve or reject your submitted hours and you will receive a confirmation by email – for each area.
Click on Custom Tools in the upper right of the page, then click Volunteer Hours (middle of the page under Export Tools). You can select the quantity of months you wish to view, then click Preview.
